1. Information we collect

Information you provide

• Account information: name, email address, login information, and beta-access details.
• Professional profile: brokerage, phone number, website, REALTOR® preference, headshot, logo, and other branding details.
• Listing and property content: property facts, addresses, descriptions, marketing instructions, photographs, floor or room information, and other material you submit for processing.
• Generated content: listing descriptions, flyer copy, images, virtual staging, enhanced photos, and related generation history or metadata.
• Support and feedback: messages, feature requests, and information you provide when contacting us.
• Billing information: subscription plan, billing status, credit balance, Stripe customer and subscription identifiers, and transaction-related records. Stripe processes payment-card details; ListFlow does not receive or store full card numbers.

Information collected automatically

We may collect device and browser type, IP address, operating system, pages or features used, referring URLs, timestamps, error and security logs, approximate location derived from IP address, and cookie or similar-technology identifiers. We use Google Analytics to understand use of the Services when analytics is enabled.

2. How we use information

• Provide, personalize, maintain, and improve the Services.
• Authenticate users, maintain profiles, save generated assets, and administer beta access.
• Process user instructions and send submitted content to the AI or infrastructure providers needed to create requested outputs.
• Administer subscriptions, credits, cancellations, fraud prevention, and customer support.
• Monitor reliability, diagnose errors, protect accounts, enforce our Terms, and prevent misuse.
• Analyze product performance and develop new features.
• Comply with law, respond to lawful requests, and establish or defend legal claims.
• Send operational messages and, where permitted and with any required consent, product or marketing communications.

3. AI processing and property media

ListFlow uses third-party artificial-intelligence providers to produce requested content. Depending on the feature, prompts, property details, uploaded photographs, branding assets, and related instructions may be transmitted to providers such as Google and OpenAI for processing. Do not upload confidential, highly sensitive, or regulated information that is unnecessary for the requested output.

You are responsible for having the rights and permissions needed to upload property photographs, personal likenesses, logos, and listing information. If property media contains people, personal items, license plates, documents, security-system details, or other personal information, you should remove or obscure that information before uploading when appropriate.

4. How we disclose information

We may disclose information to the following categories of recipients:

• Infrastructure and account providers, including Google Cloud and Supabase, for hosting, authentication, databases, and file storage.
• AI and content-processing providers, including Google and OpenAI, to generate the output you request.
• Payment providers, including Stripe, to process subscriptions, payments, billing management, and fraud checks.
• Analytics and communications providers, including Google Analytics and Resend, to measure product use and deliver support or operational email.
• Professional advisers and authorities when reasonably necessary for legal, accounting, security, compliance, or dispute purposes.
• Business-transfer recipients in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate safeguards.

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising as those terms are defined by applicable U.S. state privacy laws.

5. Cookies and analytics

ListFlow and its providers may use cookies, local storage, and similar technologies for authentication, beta access, preferences, security, and analytics. Browser controls can limit cookies, but blocking essential storage may prevent login, saved preferences, or other features from working properly.

6. Retention

We retain information for as long as reasonably necessary to provide the Services, maintain your account, comply with legal and accounting obligations, resolve disputes, prevent fraud, and enforce agreements. Retention periods vary by data type. Account profiles and saved assets may remain while an account is active; billing and transaction records may be retained longer where required; and limited backup or log copies may remain for a reasonable period after deletion. We may de-identify information and retain it where it can no longer reasonably identify you.

7. Your choices and privacy rights

You may update certain profile information through the Services and manage subscriptions through the billing portal. You may also ask us to access, correct, delete, or provide a copy of personal information, or object to or restrict certain processing. Rights differ by location and may be subject to exceptions. We may need to verify your identity before completing a request.

To make a privacy request or unsubscribe from nonessential communications, email hello@listflow.live. We will not discriminate against you for exercising an applicable privacy right.

8. Security

We use administrative, technical, and organizational safeguards designed to protect information, including HTTPS, access controls, private storage, and signed asset links where supported. No system is completely secure, and we cannot guarantee that unauthorized access, loss, or misuse will never occur. Keep your credentials confidential and notify us if you suspect unauthorized account activity.

9. Children, international processing, and third-party links

The Services are intended for business users age 18 or older and are not directed to children. We do not knowingly collect personal information from children under 13. Information may be processed in the United States and other locations where our providers operate. Third-party websites and services have their own privacy practices, which this Policy does not control.

10. Changes to this Policy

We may update this Privacy Policy as the Services or legal requirements change. We will post the revised version here and update the effective date. If a change is material, we may provide additional notice as required by law.
